How to Print PDF Documents

Lesson 2.1: Understanding PDFs

PDF stands for “Portable Document Format”. Think of it as a digital snapshot of a document. Its main advantage is that it looks the same on any device, making it perfect for forms, tickets, reports, and manuals.

Lesson 2.2: Printing a PDF from Windows

We’ll use Adobe Acrobat Reader (a free program) for this example, as it’s the most common. The steps are very similar in web browsers like Chrome or Edge.

  1. Open the File: Double-click your PDF file to open it.

  2. Open the Print Menu: Click File in the top-left corner and then select Print. Alternatively, use the universal shortcut: Ctrl + P.

  3. The Print Dialog Box: This is your command center. Let’s break it down.

  4. Visual Cue: Show a clear screenshot of the Windows Print Dialog Box with key areas highlighted.

    • A. Printer: Make sure Epson L121 Series is selected from the dropdown menu. If you see multiple printers, be sure to pick the right one!

    • B. Pages to Print: Choose whether you want to print All pages, just the Current page, or specific pages (e.g., “2-4, 7”).

    • C. Page Sizing & Handling: This is important!

      • Fit: Shrinks or enlarges the page to fit on your paper. Best for general use.

      • Actual Size: Prints the page at its original 100% size. Use this for official forms or tickets where scaling might be an issue.

    • D. Properties: Click this button to access the Epson-specific settings.

  5. Epson Printer Properties: After clicking “Properties”, a new window appears.

  6. Visual Cue: Show a screenshot of the Epson L121 ‘Properties’ or ‘Preferences’ window.

    • Paper Type: Tell the printer what it’s printing on. Usually Plain Paper, but could be Epson Matte or Epson Glossy.

    • Quality:

      • Standard: Good for everyday documents. Faster and uses less ink.

      • High: Best for important documents or images within the PDF. Slower and uses more ink.

    • Color: Choose between Color or Grayscale (black and white). Grayscale saves color ink.

    • Click OK to save these settings.

  7. Print! You’re back at the main print dialog. Click the Print button at the bottom.
